Minutes for Meeting of

February 21, 2018

Otis Town Hall Conference Room


Meeting called to order at 6:13 pm in the Town Hall Conference Room, is being recorded, and a quorum is present.


Present:  Bill Hiller, George Mabee, Laurie Flower, and Lisa D’Orazio



Approval of Meeting Minutes:  The November 20, 2017 Technology meeting minutes were unanimously approved as written.


Upcoming Technology Grants:  Bill applied for a Community IT grant.  He put in for approximately $76,000 for our Accounting software conversion to Vadar software.  We have not heard as yet as to whether we have been awarded the grant or not.  Training and implementation are included in the grant application


Annual Budgets and Town Reports:  We made corrections to the report and reviewed the budget.  Hardware is confirmed, software needs to be checked with Larry, and we need to separate out some of the DSL figures.  Email will be converted over to Microsoft Exchange Server, but this will happen at a later date and will be handled as a capital expense.


Broadband Updates:  Fiber and MSTs have been installed along Pine Road and Kibbe Road.  There was an issue with WaveGuide and WG&E had a second company come in to install it correctly at no cost to us.




Actual 2017 Expenses:  Lisa will send out to Technology next work day.


Inexpensive Printers:  Laurie recommended we look at the HP MP200.


Meeting Schedule:  Lisa will create the schedule if it does not already exist and send out to everyone.


Technology Mailing:  Lisa made certain everyone knew she needed a three week lead time in order to get the Fiber Update letter mailed to all town residents.


Municipal Lighting Plant:  Bill noted that at last night’s Special Town Meeting we voted to put $20,000 into the MLP account because we cannot use any construction money to pay for the monthly operating expenses of running the MLP.  Broadband revenues will not initially cover the operating expenses which will run about $1250 per month, plus some licensing bills, and other start-up costs.


Website Upgrades:  Lyn has had some problems with some of the plugins when there are automatic upgrades to the new website which have been corrected.  Everyone agreed Bobby’s response time to problems has been exceptional.



The meeting was unanimously adjourned at 7:25 pm.
