Otis Library Museum Meeting

Thursday, May 9, 2019 -6:30 PM

 

Members in attendance: Jim Adams, Diane Dyer, Susan Ebitz, Walter Engels, Jane Feldman, Eve Kummel, Lois Hall, and Celeste Watman

Guest: Susan Brofman

 

The meeting was called to order by Diane Dyer, Chair at 6:40. Jane made a motion that was seconded by Eve to approve the minutes from the Tech Meeting on March 7th. Walter presented the March Summary of the finances. It was noted that the annual appeal letter would go out within the month.

Lois presented Kathy’s Director’s Report:

I regret I cannot attend I am a Lee Town Representative & I have town Meeting.

Summer Hours begin on May 28th

Monday            10 am – 4 pm

Tuesday            Noon – 6 pm

Wednesday      10 am – 5 pm

Thursday           1 pm – 7 pm

Friday                10 am – 5 pm

Saturday           9 am – 1 pm

  • Circulation has increased: DVDS the most, then books followed by audio books, Non-Fiction circulation is the least used option
  • Morris room has been used for Census meetings (4 meetings scheduled)
  • Attendance has increased: people are returning from being away for the winter
  • Acquisitions: Added 16 books and 24 DVD’s

Museum Passes:

  • All have been renewed except Zoo at Forest Park (waiting for renewal information)
  • Berkshire Botanical Garden – submitted by Rec Department
  • Springfield Museums passes discontinued by the organization

Technology:

  • More people on Thursday, several people on Saturday, Assisted Patti setting up a non- profit pay pal account, 4 Help calls from us, 3 Remote calls

Annual Appeal – Final set up including a way to accept credit card donations

Purchases the remittance envelopes separately

Processing thru ZIP N SORT / new vendor

Mailed third class mail: cheaper

Applying for a nonprofit bulk mail permit for next year

  • Ukulele Workshop – July 17, 6:30 PM

Boston Public Library

  • Computer Workshops: Microsoft Works, Google, Applications, Excel & Access

Rejected: Evidence of a Lost Civilization, fee   required

 Unfinished Business:

  • FY2020 Budget: Diane shared that she made a call to Larry Gould on Friday, April 19th to share the motion that had been passed by the Board. In a discussion with Larry, she made the decision to a trial of the “freeze” on two of the Library’s four computers.
  • Otis Library Fair –
  • Jane reported that she and Lynn set the menu
  • Coordinated family activities with the Rec Center.
  • Susan will create a flyer, share with Kathy and Diane that can be distributed at Town Meeeting

  • The Board voted to meet to discuss the fair at an additional meeting on Thursday, May 23, at 6:30

 

New Business:

Town election and Treasure’s Position – Susan Brofman shared that she’d moved to Otis in July. She is an attorney who is working full time from home. She is very interested in being elected to our board and is willing to consider taking on the treasury duties when Walter’s term is up. ALL Board Members agreed to write her name on the ballot and spread the word.

 

Eve made a motion to adjourn that was seconded by Celeste. Meeting was adjourned at 8:15 PM.
