Otis Library & Museum “In-Between “Hybrid Meeting Minutes

5:00 PM – Otis Library Roosevelt Room & Zoom*
| The meeting was called to order by Diane Dyer, Chair at 4:05 PM. In addition to Diane, members attending included James Adams, Kathy Bort, Sue Brofman, Susan Ebitz, Lois Hall, Gloria Mamokhin and Donna Rich.
The first topic of conversation was the Community Forum scheduled for Wednesday, August 25th at Town hall beginning at 6:30 PM. The forum will be l lead by Andrea and Lauren from the MLBC. Kathy shared the flyer she and Kerry designed. Diane suggested using the “hook turning the page,” which was liked by all. Kathy will edit the flyer and staff will make copies for distribution throughout town. Sue B. presented a list of all upcoming meetings prior to the forum, and it was divided up so that each trustee would reach out and invite prospective groups to attend. The second topic was the fair. We currently have 12 vendors. Susan suggested and will follow-through with posting an invitation for perspective vendors on social media. Donna suggested that the fair builds community and that we should not worry too much about the fund-raising aspect of it. The Trustees voted to let other town entities have a free table or space at the fair. So far, Otis Preservation & Trust and Diverse Otis have requested to have a table at the fair. Diane reiterated that everyone on the board needed to be involved in set-up and clean-up in addition to leading a committee. Diane and Sue will purchase food and Tony will cook. Diane: bake table. Donna & Susan: children’s activities. Raffle: Jim will ask Jacob’s Pillow; Gloria will ask the three restaurants and the Otis Poultry Farm for a donation. Donna has secured a donation from Ken Packie! Each trustee is being asked to donate a themed raffle basket. Susan will donate a breakfast basket. Donna will donate a basket with a tea theme. Kathy announced that International Children’s author, Mary Pope Osbourne will be doing a presentation on Zoom Thursday, August 5, at 6:00PM The meeting was adjourned at 5:15 PM.
