Board Members Present: Bob Rosen, Kathy Carroll, Bill Dyer.
Board Members Absent: None.
Others Present: Patricia Richard, Program Supervisor.
Introductions. None needed.
Review & approval of Minutes. Reviewed & approved November 2015 and January 20, 2016.
Accounting.
FY16. Reviewed Town Accountant’s report.
Joan Angelo refund. Bob received a response from Town Treasurer, Karen Fink, recently that this check was issued and mailed.
Revolving. Reviewed, but not a cumulative report, only FY16. Would like the cumulative report to cross-check previous deposits.
Donation. Reviewed, but not a cumulative report, only FY16. Would like the cumulative report to cross-check previous deposits.
FY17 – Revisions. 1. Job classification request, Bob will meet with Chris Morris about the process. 2. Geese deterrent at four months of service. 3. Include cleaning of carpet and couches? Patricia will call for this service. The carpets haven’t been shampooed in a couple few years and the couches have never been shampooed. 4. Patricia will check to see if the MIAA grant is still available for the security system. 5. Reviewed rate sheet of Otis Observer.
Rec Center.
Inventory—update.
Gym & Flex Pass Fees. Fee increases were implemented 1/1/16.
Building Access Application & Responsibility Statement. Reviewed and approved new application and $5/application fee per person, attached.
Gym-Guest’s policy. No guests.
Gym-User responsibilities.
Security.
Staff.
Movie Night Supervisor.
Program Supervisor job description. Reviewed with FY17 budget proposal.
Programs/Project Proposals. 1. Discussed Canasta & Line Dancing as per request of resident, Vicki Ernst. Inquire with Vicki if she knows of any volunteer instructors. 2. We will offer discount (consignment) tickets to Six Flags New England again this year, available to purchase through the Rec Center Office or our website. 3. Patricia explained that Berkshire South will be offering a CPR/AED/First Aid (certified) class in April and would like to take it in order to stay certified, approved. 4. The Commissioners would like the line item report from Heather to review the balances.
Town Hall key lockbox issues/winter. Bill installed a trail camera box around the lockbox. So far this winter we’ve had no reported incidents where it cannot be opened, but it was noted that we’ve had a mild winter.
Mass ParksPass program. Patricia renewed this pass (no charge through the State) which enables the holder to not have to pay the vehicle entrance fee. This will be available to sign out from the Library.
Otis Ridge Passes. A different tally count will have to be figured out to keep track of passes due to them being separated and not signed out as a whole (lift ticket & rental).
Basket Weaving. Reviewed instructor fee and material’s fee. Rec covers the instructor’s fee, participants will cover their own material fees, Non-Otis fees will be slightly higher.
Easter Egg Hunt/Games. Discussed and will request 4/2/16 for the event behind the Town Hall.

New Business. Discussed offering the Stretch & Pilates class this July and August with Cynthia Badrak. 2. Patricia inquired with Lyn Minery, Town Clerk, regarding the possibility/criteria of destroying documents in order to make room as we are out of file cabinet space. Lyn will send over the rules/guidelines for disposing of documents and what documents cannot be destroyed. 3. Heather Bilotta will be instructing the trial class of Boot Camp starting in the Spring.
