Otis Cultural Council

 

July 20, 2022

 

Meeting held virtually on Zoom.  This meeting was not recorded.

 

  1. Call to Order:  6:01 p.m.  Present:  Jeanne Randorf, Carole Burke, Deb Fogel, Arlene Tolopko, Carol Lombardo, Maggie Bragagnolo

 

  1. Approval of the minutes of June 15, 2022. Arlene Tolopko motioned to approve the minutes.  Deb Fogel seconded the motion.  The minutes were approved.

 

III.  Chair Report (Jeanne):

 

  1. Member Status:  The state allows us to be members for six years.  All members are active.

 

  1. Thank-you to Gardeners:  Jeanne wrote an article for the Otis Observer, thanking the gardeners who participated in the flower barrel program.  She suggested that if we see them we should thank them personally.

 

  1. Hybrid Meetings:  For hybrid meetings, we will need to have a quorum in person.  The committee discussed whether there was internet access outside of Town Hall if we wanted to hold meetings in person. Town Clerk does not this this is feasible. But a member would have to bring a laptop in order for those wanting to attend remotely.

 

  1. Community Surveys:  Many people in the community are not aware of what the Cultural Council does.  Jeanne will send the survey to council members to review.  Maggie volunteered to create a Google Survey that the town could email to all residents.

 

  1. Financial Update:  Jeanne reported that the new fiscal year started.  The town put $5,000 into the Cultural Council’s account.  Jeanne and Shanon will be working on the financial report.

 

  1. Program Update:

 

  1. Library Fair Feedback:  Rick Hamelin and Tim Van Egmond submitted reimbursement forms.  Sue Ebitz gave positive feedback on both events.

 

  1. Feedback from Farmington River Regional Elementary School:  Jeanne has received all reimbursement forms from the school.

 

  1. Update on Otis Celebration (Arlene):

 

  1. The celebration will take place on Sept 10 at the Knox Trail Inn.  The Otis Celebration Committee will pay $1,000 for food and $500 for the band in the evening.

 

  1. There will be square dancing with Cliff Brodeur from 2-4 p.m.  It will cost $1,000, and Arlene inquired if the Cultural Council would be able to pay for this event, possibly with the recycling money.  Jeanne proposed that the Cultural Council support this event, if our treasurer Shanon confirms that there are enough funds in the recycling account, and if the Otis Celebration Committee is not able to fund it.  Jeanne will speak with Shanon (who was not at the meeting).

 

  1. Technology Sessions:  Jeanne had no updates on this program, except that the Council on Aging was enthusiastic about getting a session for themselves.

 

  1. Recycling Program (Deb):  There is a new gentleman, Mark Anthony, who has started volunteering.  He is newly retired and seemed to enjoy it.

 

VII.  Other Business

 

  1. Jeanne will write an article for the September Otis Observer to recruit people to apply for grants.

 

The next meeting will be August 17, 2022.
