MINUTES

Meeting called by & time: Kathy Carroll, 6:40PM.

Board Members Present: Kathy Carroll, Mary Adams, Dana Pustinger. Bill Dyer arrived at 7:10PM.
Board Members Absent: None.
Others Present: Patricia Richard, Program Supervisor.

 

Introductions. None needed.
Review & approval of Minutes. January 19, 2017.
FY18 Budget final review. Reviewed and discussed. Made the following revisions under Programs: line #8 movie night – $200 adjusted due to borrowing some movies from the Library, line #10 performers – $2,500 added to offer programs/events for the youth/families/community – performers will be mainly geared towards the youth, line #33 Mass Parks & Rec – $300 agency membership; Advertising: $75 to cover the cost of the Sandisfield Arts Center program.
Town Report. Kathy and Patricia will meet to work on the report.
Rec Center.
Weight Room. Patricia stated that she received an update from Jim/Maintenance Department that the report from the engineer and the project will ideally include adjusting the support in the cardio & weight rooms to make it appropriate for the equipment as well as two structural repairs upstairs.
501c3. Discussed.
Fundraising. Discussed.
Facility Usage request. Reviewed application – request was submitted from an Otis Resident to use the upstairs hall for Mah Jongg play on a weekly basis from May until September 2017. Discussed, not approved as the upstairs is not ADA (American Disabilities Act) compliant and it was stated per the Select Board to not add any more programs upstairs. Explain to applicant that they can contact the Select Board.
Staff. Patricia contacted Tom Soules about disinfecting/cleaning the cardio room on a weekly basis, OK. (Reviewed information from previous meeting 1/19/17 – Patricia noted that the cardio room has been pretty dirty. Between higher usage and some users not cleaning their sneakers well enough or not bringing a clean pair to use. It was recommended to have the cardio room cleaned on a weekly basis versus twice a month this time of year, approved.
Programs/Project Proposals.
Updates. 1. Cardio Blast offered on Thursdays, 6:30PM (trial day/time) is well attended so far. 2. Patricia stated that Connie Wilson, our Yoga/Chair Yoga instructor was recently featured in the spotlight of the Southern Berkshire Chamber of Commerce as well as being interviewed on the local radio station. 3. An update on Christian’s Law (in regards to swim lessons) was recently received from Mass Parks & Rec. Patricia inquired with Jim Wilusz, Tri-Town Health, about the update – if we are affected with our swim lessons and he explained that there hasn’t been an update yet. 4. Patricia explained that we received the contract for Six Flags consignment tickets, prices slightly increased. Sales have been very low the last couple years, continue? Yes.
Gingerbread House Event. Reviewed surveys. Participants enjoy the event immensely and look forward to it each year as it has become a family tradition for many.
Easter Egg Hunt. Scheduled for 4/8/17, Saturday rain date 4/9/17, Sunday. Discussed payment options for in-store purchases: ask Chris Morris to meet us at the store so he can pay with the Town’s card? Chris Morris and Karen Fink are the only authorized users.
Memos.
Old Business. Accountant reports will be requested through Bill Hiller on a quarterly basis.
New Business. 1. Reviewed Town Accountant’s report – B&H for FY17. 2. The Sandisfield Arts Center inquired if we would advertise again in their program this year, discussed & approved $75. 3. Patricia asked the Commission to review the Rec Center’s current facility request application. The Town Hall facility request application changed recently and wasn’t sure if they wanted these changes reflected on the Rec Center’s application – no, keep as is. 4. Patricia explained that the Mass Parks & Rec Association recently published a survey about resident & non-resident fees for programs. 5. Discussed goals & objectives for FY18 – focus on continuing education and networking.
