Otis Library & Museum Interim Meeting*

Saturday, November 28, 2020

4:00 PM

* Meeting was conducted in accordance with the Massachusetts Open Meeting on Zoom

In attendance: Kathy Bort, Lois Hall, James Adams, Sue Brofman, Diane Dyer, Susan Ebitz, Gloria Mamokhin, and Donna Rich

The meeting was called to order by Chair Diane Dyer at 4:05

Susan Brofman reviewed the details of the air filtration system that she researched with her husband Tony as the best procedure for moving forward with the Air filtration system. The motion was made by Gloria and seconded by Donna to approve this purchase. The board voted unanimously in favor to purchase the new system.

Jim proposed revisiting Kathy’s Authority to authorize a “Lockdown” for the library. Kathy explained that she was following the Governors recommendation. If she or Lois got COVID she would have to close the library. Jim made a motion to delegate “lockdown authority” that was seconded but failed with one member in favor and five opposed.

The Board unanimously endorsed the Otis Library & Museum submission of the Libraries Transforming Libraries (LTC) grant for $3000 entitled “Diversity Otis,” that is being written and submitted by co-facilitators Gloria and Susan Ebitz.  Several members of the board are also members of Diverse Otis (Diane, Donna, Sue. B and Susan E.) Founding member of Diverse Otis, Sue Brofman asked that the library sponsor Diverse Otis to submit a separate grant proposal to the Berkshire Taconic Foundation for $2500. This grant requires Diverse Otis to have or be affiliated with a 501(c)(3).  After the question of liability was discussed, Sue made the motion that was seconded by Gloria. The motion was passed unanimously.

Respectfully Submitted,

Susan Ebitz, Recording Secretary.
