MINUTES
Meeting called by & time: Bob Rosen, 8:33AM.

Board Members Present: Bob Rosen, Kathy Carroll.
Board Members Absent: Bill Dyer.
Others Present: Patricia Richard, Program Supervisor.
Introductions. None needed.
Review & approval of Minutes. Reviewed & approved 2/3/16.
Accounting. Patricia discussed using QuickBooks and recommended a QB bookkeeping review the setup of accounts and transactions to make sure everything is being processed/entered correctly. Discussed, Commission would like this done after Patricia’s reclassification, if approved.
FY16.
Revolving. Reviewed email from Karen Fink, Town Treasurer, regarding the deposit of gym fees. This will be discussed at March’s meeting.
Donation.
FY17. Scheduled to meet with the Select & Finance Boards 3/8/16.
Town Report. Reviewed, was emailed to Lisa/Selectmen’s Office yesterday.
Rec Center.
Ads. Discussed the Otis Gazette (ad), Otis Observer (monthly article) & the Sandisfield Arts Center (program).
Inventory—update.
Security. Grant is available through MIAA. Bob will prepare this information for the 3/8/16 meeting.
Staff.
Movie Night Supervisor. Patricia will prepare a list of things to do for Movie Night for Bob. Bob is volunteering for the March showing. Applicant, Tom Soules, will attend.
Program Supervisor job description. No response received from Chris Morris regarding the job description. Patricia has a different job description which was given to her than what Chris sent. Bob discussed the packet he would like prepared for this meeting which would include Patricia’s current responsibilities & duties, Grade Levels 2 & 4 in relation to current responsibilities and duties as well as the including the Town’s compensation plan in accordance with grade levels and responsibilities/qualifications.
Programs/Project Proposals.
Easter Egg Hunt/Games. Scheduled for 4/2/16, setup starts at 8:00AM, Patricia plans to shop for candy 3/29 with a cash advance from Bob Rosen in order to purchase in-store items for this event.
CPR. Scheduled for 3/31/16 at the Otis Fire House, Ed Vivier, (volunteer) certified instructor. Patricia inquired about a CPR/AED/First Aid (certified) class being offered at Berkshire South that she would like to take in order to keep her certification up to date. Discussed Commissioners available to attend as well.
Dance. Due to low enrollment of the March 2016 session, this session will be rescheduled for May 2016 if the instructor is available.
Memos.
Old Business.
New Business. Weight room at Rec Center closed per Select Board due to damaged supporting beams (reference attached email). Discussed, questions regarding future usage of the room will be addressed to Chris Morris.
