Otis Library & Museum Annual Meeting Minutes

April 14, 2016

Roosevelt Room

  • Meeting was called to order at 6:35 with Diane Dyer assuming the chairperson’s role. Vicki Ernst resigned from the board. Members present included  Walter, Diane , Jane,  Eve, Steve and Susan
  • Minutes from the March 12, 2016 meeting were accepted
  • Director’s Report:  was given in print
  • Patti has finished the data base consolidation, 1000 appeals going out
  • Suggested that book donations not be accepted – The board suggested this was not necessary. Steve said he would help with books.
  • Programs: Riverbrook art display and sale was a huge success. Twenty-four people attended and bought fourteen paintings. Kerry did a great job of hosting for the library. Next exhibit will be Alice Gage.
  • Responses to the technology survey are low – only 4 returns
  • Chairs have been returned reupholstered. A suggestion was made to solicit the Rockefeller Foundation for a donation.
  • Emails sent to all previous vendors for the fair
  • Lois will be in charge and Kathy Crowe will cover during Kathy’s vacation April 30th thru May 7th
  • Summer hours begin May 31, two people on all the time beginning July1,

Treasurer’s Report: Walter noted that:

  • He and Diane have check signing authority at Berkshire Bank. This is the only bank that the Otis Library and museum has a relationship
  • The fourth quarter Town of Otis stipend~ of $15,221.15  and the additional $966 will be deposited in the “operating” account. Both are approved in April.

New Business:

  • Board voted to set the date for the library fair to Saturday, July 9th at Town Hall
  • Board voted to not put individual notes on each individual campaign letter
  • Eve and Walter will look at the annual campaign letter for possible revision
  • Kathy passed out a packet on strategic planning for the library. Eve and Susan interested in being on the sub-committee. One more member is n
